Many small and mid-sized businesses know AI could help them – but not where to start. The good news: you need neither your own data science team nor a million-euro budget. Successful AI automation starts small, concrete and measurable.
1. Find the right processes
Don’t look for “AI projects” – look for friction in daily work. Good candidates share these traits:
- The task repeats daily or weekly.
- People read something (email, PDF, form) and transfer information into another system.
- There are rules, but also exceptions that currently require experience.
- Errors or delays cost money or customer satisfaction.
Typical examples are incoming invoices, orders by email, triaging a shared inbox or recurring reports.
2. Calculate the value honestly
A simple calculation is enough to begin with: how many hours per week go into the task? What share can realistically be automated? What does an hour cost internally? Add harder-to-measure effects such as faster response times or fewer errors. The potential calculator on our home page gives you a rough first estimate.
3. Start small – with a pilot
Pick a single process and automate it within a few weeks. A clear success metric is essential, for example: “80 per cent of invoices are captured without manual input.” A pilot builds trust in the team and delivers real numbers instead of assumptions.
4. Involve your people
Automation only works if the team embraces it. Involve the people who handle the process today: they know the exceptions and will supervise the solution in the future. Design approval steps for uncertain cases instead of forcing 100 per cent automation. And think about your staff’s AI literacy: the EU AI Act already requires organisations that deploy AI systems to take measures to support it.
5. Scale on a solid foundation
Once the first process runs smoothly, more follow on the same foundation: shared integrations, unified monitoring, reusable building blocks such as MCP servers for your core systems. That way effort and cost drop with every additional use case.
Avoid common mistakes
- Starting with the most complex process instead of the one with the best benefit-to-effort ratio.
- Not defining metrics – and later being unable to prove what the solution delivers.
- Checking privacy only at the very end.
- Buying a black box that nobody in the company understands or can adapt.
- Forgetting operations: automated processes need monitoring and care too.
Conclusion
For SMEs, AI automation is no longer a topic for the future but a pragmatic tool. Start with a clearly scoped process, measure the value and bring your team along, and you will often see results within weeks. We are happy to support you – starting with a free AI check.
